Automotive Service Advisor

The position:

You pack some serious superhero skills; organization, prioritization and systematization, to name a few. Listen up! This is for you!

We are on the hunt for a full time Front Seat Driver, AKA Service Advisor to join our growing team in Invermere, British Columbia!

Previous automotive experience preferred but not required. Must have a knack for technical concepts.

Qualifications + skills:

  • Previous experience in automotive industry not required, but is considered an asset
  • Previous service advisor experience not required, but is considered an asset
  • Positive and passionate personality
  • Confident communicator
  • Proven experience in customer service
  • Highly organized and detail-oriented
  • Proficiency with computers and Windows based software
  • An ability to multitask in a fast paced, time-sensitive environment
  • Professional, well-groomed appearance, representing the Cleanline brand

As Front Seat Driver you will:

  • Ensure customer experience is consistent and in line with our values…each and every time!
  • Be the translator between technician and customer, communicating details clearly
  • Answer calls, greet customers and schedule appointments
  • Be “gatekeeper” of the appointment schedule, striking the balance to ensure we are meeting our full potential
  • Carry out pre-appointment reminders and follow-up calls
  • Keep technicians hopping, coordinating workflow and ordering parts
  • Build accurate estimates/invoices for customers
  • Independently solve customer challenges and concerns with empathy
  • Demonstrate a positive attitude and commitment to teamwork
  • Handle various forms of payment including cash, debit, and credit cards
  • Oversee accounts receivable/payable and other administrative tasks
  • Random missions as required (e.g. washing cars, shuttling customers, etc.)

As Front Seat Driver your main responsibilities will be:

Service Advising

  • Ensure client approves all work and costs before proceeding with job
  • Communicate effectively with client
  • Communicate effectively with technicians
  • Ensure timelines are communicated and adhered to
  • Ensure factory maintenance is followed
  • Pre-book next appointments
  • Keep appointment scheduler up to date
  • Receive phone calls
  • Perform follow up phone calls on select jobs
  • Build tire and maintenance estimates/work orders
  • Manage tire storage inventory
  • Create pre-booked appointments
  • Shuttle customers and vehicles.

Parts

  • Receive and delegate parts to appropriate work orders
  • Manage parts returns
  • Parts on site 2 days prior to appointment
  • Reorder inventory items listed on shop whiteboard
